Summary/Objective

The Staff Accountant position is responsible for assisting the accounting department in creating accurate and timely financial records for the organization. This position reports to the Director of Accounting and Finance. The Staff Accountant will have the ability to work independently on projects and will be adaptable to changing priorities. The ideal candidate is highly organized, meticulous, and has 5 years’ experience in financing or accounting.

Essential Duties

  1. Analyze, scan, code and enter AP invoices into accounting system
  2. Monitor and manage Project Manager invoice approvals and reconcile to invoices
  3. Review and reconcile vendor accounts and inquiries
  4. Maintain account and vendor data as well as process W-9s and 1099s
  5. Collaborate with Project Managers to prepare and process timely monthly customer invoices
  6. Facilitate payment of invoices due by sending bill reminders and contacting customers
  7. Work together with Project Managers and clients in a variety of invoicing circumstances.
  8. Verify discrepancies and resolve clients’ billing issues.
  9. Research accounts receivable and project software issues and make correcting journal entries to address and rectify.
  10. Process accounts and incoming payments in compliance with financial policies and procedures.
  11. Perform day to day financial transactions, including verifying, classifying, computing, posting and recording accounts receivables’ data.
  12. Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted.
  13. Periodically review the customer master list for duplicate or erroneous customer accounts; make updates and recommendation based on findings.
  14. Generate financial reports detailing accounts receivable status.
  15. Analyze the financial details of past, present, and expected operations to identify development opportunities and areas where improvement is needed.
  16. Support administrative team with office responsibilities such as providing telephone assistance, filing essential documentation, and providing additional ad hoc support for the management team.

Qualifications

Required Education and Experience

  1. Education Preferred: College degree in accounting or related field.
  2. 5 years’ experience in financing, accounting, or related field.

 

Required Knowledge

  1. Economics and Accounting- Knowledge of economic and accounting principles and practices, the financial markets, banking and the analysis of financial data.
  2. Mathematics- Knowledge of arithmetic, algebra, statistics, and their applications.
  3. English Language- Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  4. Work with Human Resources- Make efforts to keep updated on principles and procedures for personnel recruitment, selection, training, compensation and benefits, labor relations and negotiation, and personnel information systems.
  5. Computers and Software- Advanced knowledge of Excel applications and Quickbooks, and ability and willingness to learn new software.
  6. Finance- An understanding of how to calculate time value of money and compare different financial options.

Physical Demands

  1. The Staff Accountant, while performing the essential functions of this job, is occasionally required to stand, walk, use hands to finger, handle, or feel, reach with hands and arms, lift above their head, and talk or hear.
  1. The Staff Accountant will rarely lift, move or push up to 15 pounds.
